Here we’re making clear the conduct that we expect from everyone in our social media communities.
We support the following definition of what social media is about: “Social media is a collective term for websites and applications which focus on communication, community-based input, interaction, content-sharing and collaboration.”
Our social media communities are here to bring people together around the Post Office brand, its products and services, Postmasters and branches, plus its people and careers.
Our social media team, including how we respond to your post
Our social media communities are managed by our trained employees.
We respond to posts in our social media communities between Monday to Friday, 8am - 6pm and Saturday, 8am - 3:30pm, with variations during bank holidays in England. Should anyone require any urgent information, please visit our help and support page, which may provide the information you need.
We will contact other colleagues across the business to help respond to your posts as quickly as possible. If it’s related to the delivery of mail and parcels, we’ll direct you to Royal Mail. Post Office is a separate company to Royal Mail as we’re unable to directly respond to requests about delivery, postmen and women, lost parcels or claims, Royal Mail depots or pricing.
We will make sure the business is aware of the key trends and insights emerging from all posts shared across social media to better improve our business for you.
Postmasters are responsible for responding to any posts made in local social media communities belonging to their own business which has a Post Office inside it. The large majority of local Post Office branches are run by Postmasters, who are not employees of Post Office, but are instead franchise partners.
Principles
We expect everyone, ourselves included, to follow these principles when talking in our social media communities:
- Let your personality shine - after all, social media is a people platform
- If you don’t want the world to know, then be careful about sharing it on social media. Don’t share photos and videos of others without their permission (including of those who work in local Post Office branches across the country)
- If you need to share any personal information with us, then you must do so in a private message. But, don’t go sharing any card data and/or banking information with us on social media, even privately
- Play nice, be fair, look at each post and comment in the best possible light. Don’t post anything that could be defamatory, abusive, harassing or embarrassing, or damaging to someone’s reputation
- Keep yourself protected; privacy settings are there for a reason
- Obviously, no swearing. Neither is spamming or trolling us or others on social media acceptable. People are responsible for what they say and people should always consider the impact their comments can have on others' mental health
- Listen to others – it can sometimes be the hardest thing to do, but we’re stronger together
- Don’t use our communities for non-Post Office related commercial or advertising purposes
- Remember to also follow the social media platforms' (for example, Twitter’s) own rules and terms. If you don't, they may hide your post or take other action and we don't have control over this
How we monitor our social media communities
We monitor Post Office’s social media communities 365 days a year, including wider mentions of the Post Office brand online. However, if you find something about Post Office, our Postmasters, employees or our customers on social media which you think is inappropriate or you're concerned about, please privately contact us on social media or reach us at our website to let us know.
We understand there are Post Offices around the world. But, for the avoidance of any doubt, our social media communities, including the posts we share, are about Post Office Ltd and are intended for residents of the United Kingdom unless we reference otherwise.
When monitoring posts on social media, we will decide whether a response is necessary. We may also decide to remove posts or block an account from contacting us within 24 hours, if we can, for breaking our above principles, or request removal by notifying the user directly and/or contacting the relevant social media platform should it endorse illegal activity or be subject to legal issues (such as slander, defamation, contempt of court).
Social media communities
We’re building open, positive and welcoming social media communities. You can find the full list of those managed by the team below, with this list regularly being updated.
